Senior Project Manager

Role Purpose:

• The purpose of the project manager role is to plan, control and execute EFT Corporation Client and Internal projects, to bring to life the value that has been promised to our business and clients, through the coordinated management of EFT Corporation cross functional & client teams, aligned with EFT Corporation project delivery best practice, encompassing standard tools, methodology and process.
• This is enabled through the planning and controlling the execution of projects, aligned with standard process, proactive decision making, and effective risk and issue management.
• Key accountabilities are to ensure scope, budget, quality, and time promises are met, owning the client delivery process from Client Onboarding to Support.
• Project Managers will be expected to effectively manage between 7 & 15projects at any time.

Project Delivery Framework & Methodology:

• Adoption, implementation and adherence with EFT Corporation delivery framework, tooling and process/methodology standards/templates for all projects managed by EFT Corp, internal, client and third-party projects.
• Drive alignment with approved process recipes to ensure cross functional and regulatory and compliance gates are achieved prior to go-live.
• Continuous Improvement – Active participation in recipe enhancement and improvements in ways of work.
• Drive Continuous improvement & alignment in the cross functional collaboration across Project Management and Agile Delivery practices.

Project Planning & Execution:

• Manage new project requests, approval and set up via EFT Corp standard process and framework.
• Manage effective cross functional delivery execution of the client promise, scope and timing within the approved budget.
• Ensure Project governance and gates are managed per approved project delivery.
• Manage Project Mobilization, Initiate, plan & Design and Project execution and project close out aligned with EFT Methodology and process recipe templates.
• Document project related Risks, Actions, Issues, Decisions in project RAID aligned with framework and methodology.
• Ensure that all project documentation is maintained and managed in the project related Smartsheet templates, with email and slack as supplementary communication channels for information documented in Project Input Sheets.
• Ensure that Input sheets are actively used to formally track project activity and provide a full audit trail from project initiation through the use of formal RAID Log management, with the use of comments/ notes mitigation columns to track commitments against project plan task/ RAID tasks; alongside variance against baseline comments.

Project Administration Quality:

• Timely accurate complete project updates to Project plan, Risk Action, Issue, Decision “RAID” and Summary sheets to enable real time cross portfolio reporting across projects.
• Conduct Project Grooming, aligned with standard process, for all projects, at a minimum of once a week to drive project quality and completeness.

Product Quality Control:

• Coordinate solution quality, EFT, Client & 3rd Party User Acceptance Testing & Manage exceptions with relevant teams.
• Ensure formal sign -off from the responsible parties.
• Facilitate production testing and Hypercare.

Project Commercial Management:

• Ensure Signed contractual documents are in place for all projects or necessary approvals have been received for investment projects.
• Change Requests: Ensure all scope changes or commercial impacts are effectively managed with stakeholders, aligned with EFT’s internal process and ensure all approvals are in place.
• Clearly understand the scope of the Client Promise by reviewing contract & solution documentation and manage the financial milestones, invoicing and timekeeping per the EFT Project time and billing management procedure.
• Ensure Timesheet codes have been set up and communicated to all internal stakeholders prior to project kick off and project related meeting invites include Project codes for accurate timekeeping.
• Initiate invoicing with finance based on contract trigger events within the project lifecycle, including time and material billing as is appropriate.
• Budget Escalation and notice of time and material billing – communicate with the Commercial Team to engage with the Client where project costs are within 90 % of time approved time and it is anticipated that costs beyond budget will be incurred.
• Obtain confirmation to commence Time & Material and trigger monthly invoicing with the Finance Team.
• Monthly review and update of project timesheet reports to ensure complete and accurate, update of monthly financial dashboard with escalation as appropriate where projects are not profitable.
• Support on contract / RFP input as required.

Effective Stakeholder Management:

• Drive effective Stakeholder Management including communication and collaboration, and management of project key risk management.
• Conduct Project progress meetings aligned with the EFT standard process and agreed stakeholder governance requirements.

Project Risk Management:

• Monitor, track and control outcomes to resolve issues, conflicts, dependencies and critical path deliverables.
• Provide viable solutions and opportunities as they arise.
• Identify and manage the project and program issues and risks to mitigate their impact to the baseline.
• Document Risks, Issue and Decision aligned with EFT standard practices

Time-Sheet Management:

• Time tracking in Jira (Tempo) completed weekly, accurate project code allocation with a min average of 8 hours per workday.

Business Risk Management:

• Compliance with company policies and procedures.
• Complete all periodic mandatory policy and security training in accordance with EFT Corporation’s guidelines.
• Risk mindset applied and business risks actively raised to direct manager.

Way of Work:

• Use of proper punctuation, UK English grammar and spelling.
• Ensure all documents, correspondence etc. are formatted correctly, are neat and accurate.
• All activities are completed with due care and align with accuracy and quality standards.
• Obtain necessary approvals for legal activities aligned with process.
• Identify and / or confirm relevant timeframes / deadlines applicable to the task at hand.
